📍 Location: Prague (with occasional travel to our Brno and Bratislava offices)

📑 Reports to: CFO

Job Responsibilities

Office Management & Operations

  • Responsible for the smooth operation of our Prague office, with occasional support for the Brno office as needed.
  • Work closely with our Events Producer and Office Manager in Bratislava, ensuring process alignment and operational efficiency.
  • Develop and optimize internal processes to ensure seamless office operations.
  • Manage office budgets, procure equipment, and oversee suppliers.
  • Ensure compliance with safety and hygiene regulations.

Administrative & Organizational Support

  • Company correspondence (mail, courier services).
  • Providing essential information to new contractors related to relocation (relocation guide).
  • Organizing and recording minutes of management meetings.
  • Maintaining, digitizing, and archiving supplier contracts.
  • Communicating with partners (e.g., O2 Arena – corporate VIP program, banks, government offices).
  • Tracking contractor benefits (e.g., team credits).
  • Coordinating business travel and accommodation.
  • Collaborating with People Operations to support onboarding and ensure a comfortable work environment for new contractors.
  • Assisting the People Operations team in organizing team-building activities and company events.

Requirements

  • Experience as an Office Manager or in a similar operational role.
  • Excellent organizational and communication skills.
  • Ability to lead a team and implement efficient processes.
  • Proficiency in Czech and English.
  • Experience with budgeting, procurement, and supplier contract management.
  • Advanced knowledge of office tools (MS Office, Google Workspace, etc.).
  • Willingness to travel to Brno and Bratislava as needed.
